Job Summary:

The American International School, located in Sheikh Zayed, Egypt, is seeking a highly organized and proactive

Assistant to the Business Manager / Business Office Coordinator to support the financial, administrative,

and operational functions of the school. This role serves as a central point of coordination within the Business

Office, ensuring smooth daily operations, effective communication across departments, and meticulous

management of staff compensation, contracts, and logistics. The ideal candidate is a detail-oriented professional

who exercises discretion with confidential information and thrives in a fast-paced, collaborative environment.


Key Responsibilities:

• Work closely with the Business Manager, who oversees finance, administration, and operations.

• Oversee the daily operations of the Business Office, ensuring efficiency, accuracy, and timely completion

of administrative tasks.

• Provide direct administrative and operational support to the Business Manager, including calendar

management, scheduling, correspondence, and preparation of reports and presentations.

• Handle teachers’ compensation and contracts, including salary calculations according to the school’s

salary scale, document collection, preparation of offers, and issuance of new and renewal contracts.

• Coordinate travel and housing arrangements for international and newly hired staff, including flight

bookings, hotel accommodations, transportation, and logistics with accuracy.

• Handle sensitive and confidential information with the utmost professionalism and discretion, maintaining

organized and secure records through effective filing systems. both electronic and physical.

• Organize and coordinate meetings and special events, including agenda preparation, minute-taking, and

follow-up on action items.

• Act as a link between academic departments and the Business Office to ensure clear communication and

alignment with school needs and operational priorities.

• Assist in coordinating purchase orders, vendor relations, and service contracts, ensuring timely

approvals.

• Support the Marketing and Communications Department by coordinating with suppliers and ensuring that

all materials, posters, and campaigns comply with the school’s brand guidelines, while maintaining

accurate documentation for price comparisons and adherence to budget guidelines.• Prepare reports, data summaries, and presentations to support decision-making and operational

planning.

• Coordinate international shipping through UPS for sending certificates, envelopes, and other documents.


Job Requirements:

• Education: Bachelor’s degree in business administration, Management, or a related field.

• Experience: Minimum of two years of experience in an administrative, coordination, or office

management role; experience in an educational setting is highly preferred.

• Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with

PowerSchool or other student information systems is a strong plus.

• Communication: Excellent verbal and written communication skills with the ability to interact

professionally with staff, vendors, and external partners.

• Organization: Strong attention to detail with the ability to multitask, prioritize effectively, and meet

deadlines in a dynamic environment.

• Discretion: Demonstrated ability to handle sensitive and confidential information with professionalism and

integrity.

• Interpersonal Skills: A friendly, welcoming demeanor with a collaborative approach to problem-solving

and cross-departmental coordination.

Job Description:


  • Following up on Treasury operations, including petty cash, purchasing, cash checks from the bank, Worker Funds, and postdated checks
  • Preparing the required journal entries and posting them to the system
  • Following up on student payments through the system
  • Following up on Credit Card payments
  • Preparing Form No. 4 for withholding taxes
  • Following up on supplier invoices and ensuring timely payments
  • Preparing monthly bank reconciliation statements
